3.3 Privacy Policy

Whitevale Golf Club (WGC) will collect general information about its members, such as name, address, contact details, date of birth and other clubs the member may be affiliated or has been affiliated with.  WGC may also collect other types of personal information, such as, when a person participated in contests and promotions or return feedback forms. Where practicable, the purpose for which the personal information is collected will be made clear at the time of collection.

How the information will be used
WGC will use the personal information collected for the purpose disclosed at the time of collection, or otherwise as set out in this policy. It will not use personal information for any other purpose without first seeking consent, unless authorized or required by law. Generally WGC will only use and disclose personal information as follows:

  • to establish and maintain membership to WGC, including providing newsletters, magazines, annual reports and other information necessary to allow a member to play an active role in WGC, such as information about candidates standing for election to the Board of Directors of the Club;
  • to provide products, services or information that have been requested (either directly or through 3rd parties that have been retained for this purpose);
  • to answer inquiries;
  • to register a person for an event, promotion or competition;
  • to help make WGC facilities, services and products more valuable to its members and guests;
  • to inform its members and guests of new developments which may be of interest;
  • for direct marketing of products or services

Other disclosures of personal information
WGC will disclose personal information without permission when it believes in good faith that such disclosure is required by law or that such disclosure is necessary to investigate or protect against harmful activities to members, customers, property (including the WGC website), employees, or others.

Member-to-member use
All WGC members have access to the “members only” section of the website and to printed materials containing similar information. This section contains confidential contact information which is provided to facilitate member-to-member one-on-one communication.  Any use of this information for mass communication to the membership without prior written approval of the WGC Board of Directors is strictly prohibited.  Any WGC member using this information in this unacceptable manner may be subjected to WGC disciplinary action.

Security
WGC will take reasonable steps to keep secure any personal information which it holds and to keep this information accurate and up to date. WGC cannot accept responsibility for the security of information send to it or received over the Internet or for any unauthorized access or use of that information.

Notification of changes: Any future changes to this policy will be accessible and displayed through a link on the WGC website. Continued use of the WGC website following such changes constitutes acceptance of this updated policy.
